INSTALLATION OF EXHIBITS:
Exhibitor move-in: Thursday, March 19           1:00 p.m.      7:00 p.m.
Friday, March 20               8:00 a.m.       2:00 p.m. 

MOVE IN & MOVE OUT:
No move-in rearrangement or adjustment may be done after the opening of the show.  Exhibitors will unload and load only at designated areas.  Vehicles will be unloaded and loaded quickly and then will be immediately moved from the unloading and loading areas to the North field parking lot.  Any vehicle left parked in these areas will be moved at owner’s expense.  Heavy materials or equipment will not be dragged, skidded, or rolled over the floors, but will be carried or moved in and out on wheels. NO spray paint or equipment/tire protectants can be used.  Use of such products will result in an assessment of at least $300.00 for damage/replacement of carpet. 

Exhibitors will not be permitted to remove exhibits until 5:00 p.m. Sunday, March 22, 2009. All exhibits must be removed by 3:00 p.m., Monday, March 23, 2009.

All booths in the Multi-Purpose Arena and Pavilion will be on carpet unless prior arrangements are made with show management. Heavy plastic must be placed on carpet before laying brick, rock, gravel, dirt, pavers, mulch, etc. Exhibitors are responsible for cleaning and returning their space to conditions as they were prior to move-in. Any fees incurred by Management to bring exhibitor space up to acceptable levels of the Lancaster Event Center will be charged to the exhibitor. 

FORKLIFT ARRANGEMENTS:

The show will have a forklift available. Exhibitor will be allowed to use their own forklift for their display only.


ELECTRICAL NEEDS:

110/20 amp pricing is per 2 electrical connections. No multiple plug adapters or power strips are permitted. Any such connections found in booth will be rewired by Lancaster Event Center to conform to the State Fire Marshall and exhibitor will be charged at not less than $50/hour.  

 
TABLES, CHAIRS, AND DISPLAY MATERIALS:

An 8’ high back drape, 3’ side drapes and an 6’ draped table will be provided FREE OF CHARGE to each exhibitor.  Exhibitors are responsible for all other display needs. AAA Rents will send a decorator’s packet to exhibitors for tables, chairs, carpet, etc. or contact AAA Rents at (402) 467-4151.

EXHIBIT RESTRICTIONS:

Exhibits must conform to a height limitation of 8'. Exhibits must be placed within the dimensions of the booth space.  Depth – all display fixtures over 4’ in height and placed within 10’ lineal feet of an adjoining exhibit, must be confined to that area of exhibitor’s space which is at least 5’ from the aisle line. Commercial building exhibits that exceed these limits may be submitted (dimension drawing) for consideration of approval and placement when contracts for space are returned.
 

Any exhibitor display that has an unfinished side facing another exhibitor’s display must have the exposed side either finished or draped. Exhibitors will not apply paint, lacquer, adhesive or any other coating to the Lancaster Event Center, or its floors, walls, etc.  Nothing will be attached to the floor.  All exposed edges of carpeting or floor covering must be taped down.

TYPE OF EXHIBITS:

Each exhibit will comply with the laws of the State of Nebraska and with all ordinances and regulations of the City of Lincoln and Lancaster Event Center.  Exhibitor agrees to display only products and services, which are sold in their regular course of business.  Show officials reserve the right to eject or prohibit any exhibit, in whole or in part, or any exhibitor or his or her representatives, which it considers not in keeping with the character of the Show.


SELLING PRODUCTS & FOOD SAMPLES:

Retailing of product is encouraged at the Show. Please contact management if larger than carry-off items need to be removed from your display area during the Show.
Show Management and the Lancaster Event Center must approve food samples and selling of food items. No cooking will be allowed without approval of the Lancaster Event Center.


SUBLETTING OF SPACE:

No space shall be sublet or shared with another exhibitor without the written consent of Management.  Please submit written request for sharing space to show management. Violation will result in removal from the Show and permanent loss of space.

COMBUSTIBLE MATERIALS:

Combustible products cannot be used without prior written approval.  All flammable material must be fire-proofed. Any gas grills or fireplaces in use must meet the approval of management before and during the Show.


MISCELLANEOUS:

Giveaways—Handouts will not be of noise-making variety; all such gifts are subject to prior approval.  All souvenirs must be distributed by exhibitors from their own spaces. Exhibitors must confine all sales activities to their own exhibit space.  Any objectionable advertising will not be permitted.  Radios, televisions, music, etc. should be kept at a volume that will not annoy other exhibitors.


EXHIBITOR ADMITTANCE/NAME BADGES:

Information will be sent approximately one month before the Show to register booth personnel.  Exhibitors receive up to six complementary exhibitor badges.  Each additional badge is $3.00.  Name badges and Show material will be available at the Show Office.  Facilities will be open to exhibitors at 9:00 a.m. on Saturday, March 21 and at 10:00 a.m. on Sunday, March 22, 2009.


EXHIBITOR PARKING:

Please park east of Pavilion II. Please leave the parking lot north of the Multi-Purpose Arena open for attendees of the show.  There will be an exhibitor entrance on the SE corner of Pavilion I. Trailers should also be parked in the far SE parking lot of the complex.  


EVENTUALITIES:

Show Management’s
obligation under the agreement is subject to acts of God, war, civil violence, terrorism, unavailability of any facility as the site for the event, and other such conditions beyond the control of Show Management making it illegal, impracticable, or impossible for the Show Management to perform its obligation under the Agreement.  In such event, Show Management shall refund any monies advanced by Exhibitor, less substantiated expenses incurred and not recoverable.


LIABILITY:

Exhibitor shall provide proof of liability insurance upon request in an amount not less than $1,000,000 and hereby agrees to keep such insurance in full force and effect throughout the term of this agreement.  The Association will not be responsible for the safety or security of exhibits, exhibitors or their employees, but will use reasonable effort to protect exhibitors against such losses or injuries. Exhibitor shall hold the Association harmless from any and all claims or liability in connection with exhibiting under this agreement or use of space leased herein, or resulting there from including reasonable attorney fees.

AMENDMENTS:

Show officials and committee shall have full power to interpret, or amend these rules and to make additional rules in the best interest of the Show and the exhibitor agrees to accept and abide by such rules.
